Hannah Rees is committed to protecting your personal data and handling it responsibly. This policy covers the personal data that Hannah Rees has received from you, including when you communicate through various means of social media, email or telephone. It also covers personal data that Hannah Rees may receive from third parties.
Hannah Rees may collect personal data from you via Registration Forms, website, emails, Skype calls, Social Media, telephone and in person. This information may include:–
Name, address, age, date of birth, contact details that you provide when registering and other information relevant to our work together eg. medical details.
Third party information regarding your other people such as your Nutritionist, Medical Adviser or Coach.
Your payment details whilst working with Hannah Rees, including invoices relating to services undertaken.
Your communications whilst working together and for a limited period of time after.
Photographs and videos passed on by yourself for Personal Training and/or Competition Preparation use whilst working with you and for a limited period of time after. These will not be shared with any third party without your consent.
Photographs and videos taken by Hannah Rees, or on behalf of, whilst working together. These will not be shared with any third party without your consent.
Why does Hannah Rees need the information gathered?
To improve my brand/product/services.
To provide coaching eg. build personal training and nutrition programmes
To inform you of new events, ideas, plans etc.
To ask for feedback
To contact you with special offers, promotions and other information that I think you may find interesting.
Hannah Rees may communicate with you using a number of methods such as Email, Personal Training App, Instagram, Private Messenger, WhatsApp, through my Website. If at anytime you do not wish Hannah Rees to contact you using any, or all of the above means, please let me Hannah Rees know in writing.
Please be aware that photographs and video footage may be taken whilst working together – please speak to Hannah Rees if you do not wish to be part of this at any time.
Hannah Rees will retain appropriate personal data about you for as long as you are working with her, and for a limited time afterwards (in case you decide to reactivate your registration and programme or have any queries about it).
Hannah Rees will never sell your data or pass on to third parties for any reason. Hannah Rees will keep your details available and secure at times. You may ask me at any time for copies of any personal data that are currently held for you.
If at anytime you do not wish Hannah Rees to contact you using any, or all of the above mentioned means, please inform Hannah Rees in writing.

All coaching services and communication, email or otherwise, delivered by Hannah Rees, (your “Coach”), as well as information set forth on this website (HannahRees.co.uk) are meant to help you identify the areas in your life and in your thinking that may be standing in your way. However, coaching is not professional mental health care or medical care. If you feel psychologically stressed to the point that it is interfering with your ability to function, please have the courage to seek the help you need in the form of a professional counsellor. Coaching may augment your therapy, but the work of coaching is meant to be done when major emotional and psychological wounds are already healing or healed.
In that spirit, by purchasing coaching services from your Coach, you confirm that you have read and agree to each statement and that you wish to proceed:
I understand that the coaching services I will be receiving from my Coach are not offered as a substitute for professional mental health care or medical care and are not intended to diagnose, treat or cure any mental health or medical conditions. I also understand that my Coach is not acting as a mental health counsellor or a medical professional.
I understand that coaching is, at present, an unregulated industry and that my Coach is not licensed. I also understand that for all legal purposes, the services provided by my Coach will be considered to be provided in the United Kingdom.
I understand and agree that I am fully responsible for my well-being during my coaching sessions, and subsequently, including my choices and decisions.
I understand that coaching is not a substitute for counselling, psychotherapy, psychoanalysis, mental health care or substance abuse treatment, and I will not use it in place of any form of therapy.
I understand that all comments and ideas offered by my Coach are solely for the purpose of aiding me in achieving my defined goals. I have the ability to give my informed consent, and hereby give such consent to my coach to assist me in achieving such goals.
I understand that to the extent our work together involves career or business, my Coach is not promising outcomes included but not limited to increased clientele, profitability and or business success.
I understand that my Coach will protect my information as confidential unless I state otherwise in writing. If I report child, elder abuse or neglect or threaten to harm myself or someone else, I understand that necessary actions will be taken and my confidentiality agreement limited in this capacity. Furthermore, if my Coach is ordered by a court to provide information or to testify, she will do so to the extent the law requires.
I understand that the use of technology is not always secure and I accept the risks of confidentiality in the use of email, text, phone, Skype and other technology.
I hereby release, waive, acquit and forever discharge my Coach, any agents, successors, assigns, personal representatives, executors, heirs and employees from every claim, suit action, demand or right to compensation for damages I may claim to have or that I may have arising out of acts or omissions by myself or by my Coach as a result of the advice given by my Coach or otherwise resulting from the coaching relationship contemplated by this agreement. I further declare and represent that no promise, inducement or agreement not expressed in this agreement has been made to me to sign this agreement. This agreement shall bind my heirs, executors, personal representatives, successors, assigns, and agents.
Personal Training, Posing and Other Types of Coaching:
I will utilise skills and knowledge to design a safe and effective personal training programme where your goals and fitness levels will be taken into account.
To achieve the best results, 100% commitment is required from both myself (from here on known as “the trainer”) and you (from here on known as “the client”).
The client will be required to complete a Physical Activity Readiness Questionnaire (PARQ) before commencing your first training session.
If further medical information is needed from a GP or practitioner, the client will be required to provide this.
The client will understand that there are inherent risks involved with undergoing any physical training programme. If the client sustains or claims to sustain, any injury whilst participating in training, they must acknowledge that the trainer is not responsible, except if there is injury as a result of the trainer's gross negligence or an intentional act.
For the avoidance of doubt, the trainer is not responsible for any client sickness or death whilst undergoing training.
The client must acknowledge that the trainer cannot be liable for any unknown or undeclared medical conditions.
If training in the client's premises, the client is responsible for the safety of the environment for exercise.
All client information will be kept confidential.
The client will be required to dress appropriately for exercise.
Training session fees are paid on a pre-pay basis.
Notice of less than 24 hours for cancellation or postponing of sessions will incur full session payment.
Once booking and payment is made, sessions are non-refundable and non-transferable and must be used within six months.
Sessions cannot be extended as a result of client’s lateness. If the client has not arrived for the session within 20minutes after the scheduled time, the session shall be deemed to have cancelled and a charge of the entire session will still apply.
If the trainer is late, sessions can be extended or time can be added to future sessions where appropriate.
If sessions need to be cancelled by the trainer, the client can request a full refund for any unfulfilled sessions.
The trainer has a right to change these terms and conditions and to offer new services or if required by the law and will notify the client of any change. If unhappy with any changes made the client can cancel future sessions but payment must be made for sessions already completed.
You are responsible for keeping all your contact information and marketing preferences up to date with the trainer. In order to comply with the Data Protection Act 1998, the trainer will only do what the client ask him/her to do, or what you have given him/her permission to do with any personal or sensitive information held about you.
Training sessions may be filmed or pictures taken for marketing purposes. Your participation in a session means you consent to photography, filming and sound recording which may include you as a client and its use in commercial distribution without payment or copyright.
(I, Hannah Rees, hold a current full personal training qualification and hold up to date public liability insurance of up to £5 Million.)
This agreement is governed by the laws of England and Wales and is subject to the jurisdiction of the English courts.
By joining sessions, you agree to accept all terms and conditions.
